A well-established organisation is looking to appoint a dedicated and detail-oriented Admin Clerk (Maintenance) to join their support services team on a permanent basis. This role plays a key function in assisting the maintenance department with all administrative tasks, ensuring that work orders, reports, and documentation are accurately processed and maintained.

This is an ideal opportunity for someone who is highly organized, enjoys working with both people and data, and has experience in administrative coordination — particularly in a facilities, property, or technical services environment.

🧰 Key Duties & Responsibilities:

Maintain an up-to-date maintenance register and track service requests

Capture, update, and manage work orders and job cards in the system

Prepare and submit regular reports on maintenance progress and backlogs

Liaise with contractors, maintenance teams, and internal departments regarding repair schedules

Assist in compiling purchase requisitions and tracking supplier invoices

Organise and file all maintenance documentation, manuals, and compliance records

Monitor stock levels for maintenance supplies and initiate procurement processes when needed

Provide administrative support during inspections, audits, or compliance checks

Respond to maintenance-related queries from staff or departments professionally and timeously

Assist in creating and maintaining preventive maintenance schedules

✅ Minimum Requirements:

Grade 12 (National Senior Certificate)

1–2 years of administrative experience, preferably within a maintenance, engineering, or facilities department

Diploma in Administration or equivalent qualification (advantageous but not compulsory)

Proficient in MS Office Suite (especially Excel and Outlook)

Familiarity with maintenance tracking software or asset management tools is an advantage

Strong communication and organizational skills

Ability to multitask and remain calm under pressure

High level of accuracy, professionalism, and confidentiality
